Base Camp RV Resort Policies

Resort Amenity Access

Little Arrow Base Camp RV Park and Little Arrow Outdoor Resort are separate properties. Guests staying at Base Camp RV Park do not have access to the amenities, facilities, or events at Little Arrow Outdoor Resort.

We kindly ask that Base Camp guests remain on the Base Camp property and enjoy the amenities provided. Thank you for ensuring the best experience for guests at both locations!

Automatic Payment & Cancellation Policy

RV & Tent Sites

  • Beginning September 1, 2025, Base Camp RV Resort will automatically charge the remaining balance of your reservation 14 days prior to your arrival date. This charge marks the beginning of the cancellation period.
  • Guests are encouraged to review our Camp Policies to ensure they are familiar with our payment, cancellation, and communication guidelines.
  • As a courtesy, we will send a reminder email 15 days prior to arrival, notifying you that your final payment will be processed the following day and that your cancellation period will begin at that time. If you need to cancel your reservation or update your payment method, please do so before the automatic payment is processed. If the card on file is declined, expired, or otherwise invalid, we will attempt to contact you for up to 48 hours. If we are unable to obtain a valid form of payment by 12 days prior to arrival, your reservation
    • be canceled, released back into inventory, and your deposit will be forfeited.
    • Base Camp RV Resort is not responsible for incorrect email addresses, inaccurate phone numbers, blocked calls, full voicemail boxes, or other communication issues that prevent us from reaching you. Please ensure your contact information is accurate and up to date when making your reservation.

Cancellation & Reservation Transfer Policy – RV & Tent Sites

Reservations may be transferred one time as a courtesy if requested at least 14 days prior to arrival.

Cancellations require a minimum of 14 days’ notice by phone.

Refunds will be issued less the applicable cancellation fee:

  • On River & Off River RV Sites: $50
  • Luxury RV Sites: $75

Reservations canceled less than 14 days prior to arrival, shortened stays, or early departures are not eligible for refunds. The full reservation amount will be forfeited.

Group Reservations

    • Groups are defined as 15 or more RV sites booked under a single payee and must be coordinated through our Group Reservations Manager.
    • The group leader is responsible for all unpaid balances.
    • Group rates are not available during June, July, October, holidays, or special event periods.
    • For reservations made more than one year in advance, Base Camp RV Resort reserves the right to determine site assignments.
    • Special event dates are subject to change without notice.

Month-Long Reservations

  • Please call our office for month-long reservation rates and availability.
  • Month-long reservations are limited to a maximum stay of 30 consecutive days and do not establish residency, tenancy, or a permanent address at Base Camp RV Resort.
  • Reservations may be transferred one time as a courtesy if requested at least 14 days prior to arrival.
  • Cancellations require a minimum of 14 days’ notice by phone.
  • Refunds will be issued less a $100 cancellation fee. Reservations canceled less than 10 days prior to arrival are not eligible for refunds, and the full reservation amount will be forfeited

 

Date Change / Transfer Policy

Reservations may be changed or transferred one time as a courtesy, provided the request is made within the applicable cancellation period.

Additional date changes or transfers will incur a $10 fee per reservation, per change. Any rate differences resulting from the new travel dates will apply. Reservation balances may increase based on current daily rates.

RV Park Check-In and Check-Out Times

Check-in time for RV Sites is: 1 PM EST

Check-out: 11:00 AM EST

Minimum Stay Requirements

A two-night minimum stay is required for all reservations. Major holidays may require a three-night minimum stay.

Base Camp RV Resort utilizes dynamic pricing. Rates are subject to change based on availability and demand until a reservation is confirmed.

RV CHECK-IN:

    • For our campers’ convenience, please proceed to your site and then come into the office to check in. For RV Sites, we recommend that you flush the water lines before connecting, using a filter and a pressure regulator. No parking is allowed on the paver patios or in the grass at the RV sites.

SMOKING POLICY:

    • At Base Camp RV Park, we do not allow any illegal drug use; if any is detected, you will be asked to leave immediately without refund. Authorities will be notified.

DEPOSITS:

    • Any reservation at Base Camp RV Resort requires a deposit of half of the reservation amount. This includes two nights or more. Payment is due in full 14 days prior to the arrival date, which will be charged automatically to the card on file. Please review our PrePay Policy below. One-night stay reservations must pay the full balance when reserving.

MINIMUM STAY:

    • A two-night minimum stay is required. Major holidays may require a three-night minimum. Base Camp RV Park operates using dynamic pricing; any price that is quoted is subject to change based on availability.

RV SITES:

    • A maximum of 8 guests allowed on one site, and only one small tent with an RV, not to encroach on the neighbor’s site area. Four guests are included in the rate; an extra charge for additional overnight guests. Children 12 and under will not accrue an additional charge.

PET POLICY:

  • A maximum of two (2) dogs are permitted per RV site. Special arrangements must be made in advance for reptiles or farm animals.
  • Pets must be kept under control at all times while around the campground and may not be left unattended outside. When unattended, pets must be secured inside your RV.
  • Guests are responsible for any damages or additional cleaning caused by their pet.
  • Pets must be kept on a leash at all times and may not be tied to vehicles, trees, or resort property.
  • Please clean up after your pet. Waste stations are conveniently located throughout the resort.
  • A pet waiver must be signed upon arrival.

RULES & REGULATIONS:

  1. Fees are payable at the office during business hours. If you wish to stay another day or request late departure, please check with the office to make sure no incoming reservations are assigned to your site.
  2. No more than one vehicle permitted per reservation. Extra vehicles and extra guests include a small fee. Please see the office to obtain additional parking and guest passes. No parking in the grass or putting tarps of any type on the grass; you will be asked to remove your vehicle and objects from these areas. Parking on the grass or putting tarps down will incur a daily fee. Any damage done to property by a vehicle or towing of an RV will be charged to the account on file.
  3. Visitors must be registered with the office, and fees apply for day visitors and overnight visitors. Visitors will be given a daily parking pass for a small fee. Visitors must obey all resort rules and sign a waiver.
  4. Campfires are to be built only in the provided sites and not left unattended. Campfires should not be higher than 18″.
  5. Children under 16 years old must be accompanied by an adult in the pool area at all times.
  6. Quiet hours are from 10 pm to 8 am. Please be respectful of your fellow campers. Any noise complaints could be subject to being asked to leave, regardless of time, and without a refund. If you are not capable of driving, vehicles will be towed.
  7. Help us conserve water; no washing of vehicles or campers.
  8. The speed limit is 5 MPH in the resort. Off-road vehicles, including four-wheelers, UTVs, or dirt bikes, are NOT allowed to operate within the resort.
  9. Trash: Please keep your campsite clean and orderly. Use the designated dumpsters and trash receptacles to keep the campground enjoyable. If you need a trash bag, ask for one at the office. Do not use fire pits to burn trash, cigarette butts, or even food. Any excessive cleaning of fire pits is subject to a $25 cleaning fee. Do not burn plastic. We ask that you clean up after yourself before you depart, and do not start any campfires before you depart. Please do not leave trash in the fire pit. If the dumpster is full, please do not leave trash next to or on top during the evening hours. If full, please let the office know, and they will find a place for your trash.
  10. State law requires that no fluid discharge of any kind, including sink water, be allowed on the ground.
  11. Washing dishes in the bathhouse is not permitted.
  12. No washers or dryers are permitted at your site; we have a laundry facility for your convenience.
  13. Please do not park in the grass; park in designated areas. Parking in the grass will result in a fee. If any damage to the grass or landscaping, you will be charged for the damage repair.
  14. Failure to comply with rules may result in eviction without refund. No refunds for early departure.
  15. Management is not responsible or liable for accidents or injuries to guests. We are also not responsible for loss of money, jewelry, etc., due to theft.
  16. Must be 21 years of age to rent an RV Site.
  17. A valid credit card must be on file to rent an RV Site. Any damages to property, amenity, or missing items from the site will be charged to the card that is on file for your reservation.
  18. No illegal drugs allowed on the property, or you will be asked to leave.
  19. Bears have an incredibly strong sense of smell, so for the protection of all our guests and to avoid a run-in with them, we ask that you store all your food-related items, including forks, trash, and coolers, in a hard-sided storage container.
  20. No refunds for early check-out or early departure.
  21. We will auto-charge the remaining balance of your stay to the card on file 14 days prior to the arrival date for your reservation. This will begin the cancellation period. We will email you 15 days prior to arrival to remind you that your payment is due the following day and that your cancellation period begins the next day. If you need to cancel or change your method of payment, this would be the time to do that. For reservations that provide an invalid method of payment (card is declined or expired), we will attempt to contact you for up to 48 hours (12 days prior to arrival). If we are unable to reach you, your reservation will be released, and your deposit will be forfeited. We are not responsible for incorrect email addresses, phone numbers, or if we are not able to leave a message on your voicemail. When making your reservation, please verify your contact information is correct.
  22. Please do not bring in any outside firewood. Firewood can be purchased at Base Camp 24/7. We are a private property and firewood cannot be delivered from outside vendors/companies/etc. Our goal is to protect the Great Smoky Mountain National Park.
  23. You acknowledge and understand that you are financially responsible for any and all property damage that may occur during the stated rental period, which can reasonably be attributed to your negligence or abuse.
  24. Early departures for ANY reason are not eligible for refunds. In the event of a weather-related evacuation, refunds will not be issued; no credits will be issued.
  25. Lost and Found Policy: Any excessively gross item, single socks, or undergarments will be discarded. We will store items for a maximum of 30 days. If we do not receive a request for the item within 30 days, it will be discarded or donated. We do not seek out owners of lost items to get them returned. You are responsible for all items you bring. If you have lost something, please contact us by phone or email within 30 days of your departure date and give a description of the lost item with your name and reservation number. If we have found it, you will need to purchase and email us a shipping label and we will ship it back to you. We are not responsible for purchasing shipping labels.
  26. We prohibit the resale of reservations to maintain fair access and prevent unauthorized profit generation.
  27. No Soliciting Policy: To ensure a peaceful and enjoyable experience for all our guests, soliciting of any kind is strictly prohibited on resort premises. This includes, but is not limited to, the distribution of promotional materials, sale of goods or services, and soliciting for donations. Violators will be asked to leave the property immediately.

GUEST GOLF CART USAGE ON PREMISES:

    • Guests are allowed to bring and use their golf carts at base cAMP ONLY AFTER SIGNING A WAIVER AND A $25 PERMIT FEE, and displaying a usage tag.
    • You must obey all campground rules and regulations, such as: must be 18 years of age to drive the golf cart on the premises, and obey the 5 mph speed limit.
    • No driving on public roads, which are Stables Dr. and Parkline Drive, which go through Base Camp.
    • Guests are responsible for any damages caused by their actions.
    • NO UTV/ATV usage allowed in the campground

AGREEMENTS:

    • BASE CAMP RV RESORT is not responsible for the failings of any other vendor or provider due to said vendor or provider’s error or service interruption (e.g., electricity, water, gas, telephone, and internet). Little Arrow Outdoor Resort cannot guarantee against mechanical failure of heating/air-conditioning, hot tubs, televisions, components, satellite receivers, or any appliances.
    • Guests should promptly report any equipment failure. All normal maintenance requests should be reported to THE Office or our After Hours Team between 9 am and 5 pm. Emergency maintenance requests (such as loss of heating, water, etc.) should be reported 24 hours a day.
    • As a guest, I agree to help protect the bears by keeping my trash picked up and out of reach, grill cleaned off, and all food out of reach.
    • As a guest, I agree to have my photo or video used for promotional media.
    • I understand and agree that BASE CAMP is not responsible for loss, damage, or injury to any person, vehicle or other personal property.
    • When staying at BASE CAMP, you are agreeing to all of the policies listed above, including our PrePay and Cancellation Policy.
    • We ask that all guests print their reservation confirmations and bring them with them to prevent any confusion about which site a guest is on. Upon check-in, you will be asked to provide your vehicle make, model, color, and license plate number.
    • After hours urgent calls, please call or text 865-659-2335. If an emergency, please call 911 (you do not need cell phone service to call 911). There is a landline and a defibrillator located next to the store across from the firewood.
